LawToolBox

Legal Practice Management Software

Legal Calendaring & Matter Management Platform

  • Automatically extracts deadlines and appointments from emails, attachments (including handwritten court orders, PDFs, and contracts) and inserts them into calendars or matter workflows.

  • Summarizes emails and document contents, drafts responses or meeting notes within the integrated environment.

  • Conversational interface via Microsoft Copilot/Teams allows users to query “What are my upcoming deadlines this week?” or “Create a matter for this client” and take action.

  • Generates AI-ready matter containers in Microsoft 365, enabling richer prompts and contextually relevant responses using secure in-tenant Azure OpenAI infrastructure.

LawToolBox is a cloud-based legal calendaring and matter management system built natively for the Microsoft 365 ecosystem (Outlook, Teams, SharePoint). Its core functionality revolves around automatically generating rules-based deadlines for litigation, transactional and regulatory matters across thousands of jurisdictions and syncing those deadlines into attorneys’ and staff calendars. Matter provisioning is automated: when a new matter is created, a group site, document folder structure, calendar, team space and notebook are created inside Microsoft 365. The system also allows users to customize, hide or overlay deadlines, view audit history of changes, manage permissions, link documents to deadlines, and integrate the calendar with existing case- or document-management platforms.

  • Rules-based deadline generator covering federal and state jurisdictions, customizable templates for practices and courts.

  • Matter provisioning in Microsoft 365: auto-create Teams, SharePoint folders, inbox, calendar, notebook when a matter is opened.

  • Full integration with Outlook, Teams, SharePoint and sync into Apple, Google, Lotus Notes or iCal calendars.

  • Document linking and matter-centric filing: save emails, documents, link to deadlines, automations for folder structures.

  • Permission controls: view-only vs editor roles, audit trail of who edited/moved deadlines and when.

  • AI-enhanced features: deadline extraction from orders/contracts, conversational prompts in Teams, Copilot support.

  • Reporting & dashboards: upcoming deadlines, tasks per user, entries per matter, and alerts for rule changes.

  • Data governance features: managed via Microsoft 365 admin center, naming policies for Groups, retention/archival controls.

Setup: Since LawToolBox is a native Microsoft 365 add-in, deployment is streamlined via the Microsoft Marketplace and admin center. For firms already on Microsoft 365, basic setup might take a few days to turn on core calendaring and matter templates. Customizing rules-sets or integrating with external case management systems may extend setup to 1-2 weeks.

Daily Usability: Users interact with a familiar Outlook/Teams interface; matter deadlines and calendars sync automatically, reducing manual entry and risk of missed dates. Staff benefit from automated workflows and one-click matter creation. Some initial learning may be needed to tailor templates and train staff on permissions and visibility.

Team Onboarding Time: Basic user proficiency (creating matters, viewing deadlines, saving documents) can often be achieved within 3-5 business days for most staff. More advanced roles (admin configuring custom deadline templates or creating integrations) may require 1-2 weeks training and sandbox practice.

Integration with Existing Tools: Because LawToolBox lives within Microsoft 365, it integrates smoothly with Outlook, Teams, SharePoint, Planner and other M365 apps. It also supports plug-ins for major document-management or practice management systems (like iManage, NetDocuments) and provides APIs/capabilities for syncing with external platforms. This reduces duplication of systems but may require initial mapping and connector configuration.

Ongoing Admin Demand: Ongoing administration involves managing user permissions, updating or customizing deadline templates as jurisdictional rules change, auditing calendar syncs, reviewing usage reports and monitoring integrations. However, baseline maintenance is relatively low thanks to auto-updates and Microsoft integration. Firms leveraging full AI-capabilities may assign an admin to monitor prompt usage and tenant-AI policies.

  • Litigation law firms (plaintiff or defense) that juggle complex calendaring across jurisdictions and cannot afford missed deadline risk.

  • Corporate legal departments with high volume of regulatory, contract or administrative deadlines seeking automated matter provisioning and calendaring within Microsoft 365.

  • Medium-sized firms that already use Microsoft 365 as their productivity platform and want to centralize matter management, document storage, deadlines, and collaboration in one ecosystem.

  • Practice groups (e.g., estate planning, real estate closings, transactional work) that require well-structured matter templates, document flows and custom deadlines for each transaction.

  • Government agencies, courts or legal services units that host virtual hearings, depositions or require shared matter spaces, synced calendars, and secure Microsoft 365-native workflows.
